Terms & Conditions

1. Agreement

By booking travel services with Golden Key Escapes, LLC (“we,” “us,” “our”), you (“client,” “traveler,” or “you”) agree to be bound by these Terms & Conditions. Please read them carefully, as they outline your rights and responsibilities when using our services.

2. Role of the Travel Agency

We act as an independent travel advisor and intermediary between you and third-party suppliers, including but not limited to cruise lines, airlines, hotels, tour operators, and insurance providers (“Suppliers”). All bookings are subject to the terms, conditions, and policies of the Suppliers. We are not responsible for the acts, omissions, or errors of Suppliers.

3. Booking & Payment

  • Deposits: Deposit amounts will be determined by the Supplier.

  • Final Payment: Final payment must be submitted to the Supplier no later than 7 days before the Supplier’s stated deadline.

  • If payments are to be processed through Golden Key Escapes, you agree to provide a valid credit card authorization in advance to allow us to process your payment to the Supplier on your behalf.

  • Failure to provide timely payment or authorization may result in cancellation of your reservation and forfeiture of deposits.

  • All payments must be made in U.S. Dollars unless otherwise agreed.

4. Pricing

  • Prices are subject to change until payment is received in full by the Supplier.

  • Supplier-imposed increases, including but not limited to fuel surcharges, taxes, or fees, may be passed on to you.

5. Cancellations & Refunds

  • All cancellations must be submitted using our Cancellation Form, signed by the traveler.

  • Refunds, if available, are subject to the Supplier’s cancellation policies.

  • Golden Key Escapes does not charge additional agency cancellation fees.

  • We strongly recommend travel insurance (see Section 6).

6. Travel Insurance

  • Travel insurance is required for all clients unless a signed waiver is provided declining coverage.

  • Insurance policies are governed by the insurer’s terms, and any claims must be filed directly with the insurance provider.

7. Service Fees

Golden Key Escapes may charge flat service fees for certain bookings and services, such as:

  • Trip planning / itinerary design

  • Flight-only reservations

  • After-hours emergency support

  • Rebooking or trip modifications

Service fees are non-refundable and amounts will be disclosed prior to booking.

8. Traveler Responsibilities

You are responsible for:

  • Ensuring the accuracy of all personal information (names, dates of birth, passport details, etc.).

  • Meeting all entry, visa, health, and vaccination requirements for your destination.

  • Arriving at departure points (airports, cruise terminals, etc.) on time.

  • Reviewing all travel documents promptly upon receipt and notifying us of any errors.

9. Passports & Visas

  • A valid passport is required for all international travel. Many countries require passports to be valid at least 6 months beyond your return date.

  • Obtaining necessary visas, permits, or health documents is your responsibility. We are not liable for denied entry due to incomplete or invalid documentation.

10. Limitation of Liability

Golden Key Escapes, LLC shall not be held liable for:

  • Acts or omissions of Suppliers, including but not limited to cancellations, delays, overbookings, accidents, or lost/damaged luggage.

  • Events beyond our control, such as natural disasters, pandemics, strikes, political instability, or government actions.

  • Any injury, illness, property damage, inconvenience, or financial loss arising from your trip.

11. Changes by Suppliers

Suppliers may modify itineraries, accommodations, or other services due to operational needs. We are not responsible for Supplier decisions. We will make reasonable efforts to assist you in arranging alternatives, but we are not obligated to do so.

12. Governing Law

These Terms & Conditions shall be governed by and interpreted in accordance with the laws of the State of Texas, without regard to conflict of law principles.

13. Acceptance of Terms

By booking with Golden Key Escapes, LLC, you acknowledge that you have read, understood, and agree to these Terms & Conditions, as well as those of the Suppliers.
